Collectively, these components deliver a powerful 1-to-1 digital marketing platform through which brands of all sizes can connect directly with consumers via a smartphone.  Thinfilm is seeking an Executive Assistant to the executive management team who will be a critical partner in the leadership team. The successful candidate will be highly organized, self-motivated, and effectively respond to changing workloads and priorities.

In this role, your primary responsibility will be managing the schedule, business travel, and day-to-day responsibilities of our executive leadership team and, in addition, support the operations of the BOD as needed.  Being at the center of a busy, and fast-paced organization, this position will also support meetings, offsites, occasional events, and manage the day to day operations of the Thinfilm office in conjunction with the HR team.  This role requires someone with a keen ability to prioritize many tasks across multiple functions.  Also crucial to this role is the ability to interact with executives and team members - at all levels, across multiple groups, time zones, and in a dynamic environment while remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and discretion.

 

Key Responsibilities

  • Take ownership of the executive’s calendar and travel (domestic and international)
  • Manage conflicting appointments/events using keen judgment, and streamline the executive’s day to day operations
  • Manage operations of the BOD and executive leadership team as well as manage supporting documentation and communications
  • Collaborate with HR on coordinating meetings, all-hands events, conference calls/video conferencing and periodic catering
  • Work on projects supporting key meetings, events and initiatives
  • Anticipate needs of executive with minimal guidance or direction
  • Order and maintain inventory of departmental supplies, along with other general office management duties

Requirements

  • Bachelors Degree or equivalent experience, HR experience a plus
  • Extensive experience providing support with complex calendar management, expenses and travel to multiple executives, preferably in a hi-tech company, high growth environment
  • Ability to exercise judgment and initiative with high degree of flexibility and confidentiality
  • Experience with extensive international and domestic travel itineraries and logistics
  • Strong skills with PowerPoint, Excel, MS Word, Outlook
  • Extremely strong organizational, project and time management skills; detail-oriented
  • Self-directed with the ability to anticipate needs of the executive and/or team, and proactively follow through on assignments
  • Able to work with individuals at all levels of the organization
  • Excellent verbal and written communication skills
  • Experience in a start-up environment a plus
